Never do these three things
Do not argue with the facts in public, even if the reviewer is wrong. Do not offer refunds or discounts in the reply (it trains bad-faith reviews). Do not copy-paste the same apology on every bad review — future customers notice, and it reads as indifference.
Always take it offline
End with a concrete way to continue privately: "call us", "email the manager directly", "ask for me when you're in". This shows goodwill publicly while keeping the resolution — and any compensation — out of the public thread.
